Slack at a glance

Slack is a channel-based collaboration platform for team messaging, external partnerships, lightweight meetings, workflows, files, lists, canvases, and app integrations. It is strongest when a company wants communication to be searchable, organized by topic, and connected to the systems where work happens.

Slack can replace a large share of internal email and reduce meeting overhead, but it does not organize itself. Without channel conventions, ownership, retention rules, notification discipline, and a clear home for final decisions, it becomes a fast-moving stream where important context is difficult to recover.

Current Slack pricing

As of September 2026, Slack’s US pricing page lists Pro at $7.25 per active user per month when billed annually or $8.75 monthly. Business+ costs $15 annually or $18 monthly. Temporary discounts may reduce the first few months but do not necessarily change renewal pricing. Enterprise+ uses custom sales pricing.

  • Free: $0; 90 days of visible and searchable message and file history, limited integrations, one-to-one huddles, and one-to-one external messaging.
  • Pro: unlimited message history and app integrations, group huddles, full Slack Connect channels, workflows, and basic AI such as conversation summaries and huddle notes.

Slack bills for active members under its applicable fair-billing rules, but guest, bot, external, and contracted enterprise arrangements can affect the invoice. Model the cost using expected active users, billing cadence, app expenses, data and compliance requirements, and any Salesforce products—not only the introductory price.

The free plan’s 90-day and one-year limits

Free Slack exposes only the most recent 90 days of messages and files. Older content is hidden, and data more than one year old may be permanently deleted on a rolling basis. Workspace owners can choose basic retention behavior, but upgrading after permanent deletion will not restore erased data.

This makes Free useful for trials, communities, temporary groups, and small teams that do not treat Slack as a system of record. It is risky for businesses that expect to recover old decisions, customer commitments, incident discussions, or project files. Before downgrading, export permitted data and review what will be hidden or deleted.

Free workspaces also restrict app installations and limit huddles to two participants. Slack’s current help documentation and marketing pages show slightly different legacy app limits, so confirm the workspace’s own billing page rather than relying on an old comparison.

Channels, threads, and communication design

Public channels create shared visibility and should be the default for most internal work. Private channels are appropriate when membership genuinely needs restriction, not merely because a conversation feels sensitive. Direct messages are useful for personal or short-lived communication but poor places for decisions other people will later need.

Use predictable names such as team-, project-, client-, help-, and announcement-. Give every channel a purpose, owner, description, posting expectations, and archival trigger. Threads keep a topic together, but a thread containing an important decision should link to the durable record in a document, ticket, CRM, or project system.

A practical norm is: chat for discussion, channels for visible coordination, and a designated system for commitments and final knowledge. Pinning a message or placing it in a canvas improves discovery but does not replace a governed knowledge base.

Slack Connect and external collaboration

Slack Connect lets organizations collaborate in shared channels or direct messages while each party remains in its own Slack environment. Pro and higher plans support group external messaging and channels involving many organizations; Slack’s current pricing page advertises connections with up to 250 organizations for supported scenarios. Free is limited to one-to-one external messages.

Shared channels can accelerate partner, customer, agency, and vendor work, but they expand the trust boundary. Define who may approve connections, which channels may become external, what information may be shared, how apps and workflows behave, and how the connection is reviewed or terminated.

Channel names and visible membership do not prove that every message is suitable for every organization. Train users to check the external-connection indicator before posting confidential plans, personal data, credentials, or internal incident details.

Huddles, clips, and asynchronous work

Huddles provide quick audio and video discussions with screen sharing and a conversation thread. Free supports two-person huddles. Paid plans support up to 50 participants, with Slack currently documenting a limit of 25 participants using video at one time.

Huddles are excellent for short problem-solving sessions, pair work, and spontaneous conversations. They are not a full substitute for a webinar platform, advanced meeting administration, large events, telephony, or complex calendar workflows. Important actions from a huddle should be captured in the thread and assigned in the team’s task system.

Clips allow recorded audio, video, and screen messages. They can reduce meetings across time zones, but teams should add text context and captions so information remains searchable and accessible.

Slack AI and Slackbot

Slack now bundles AI features by plan instead of selling the former web add-on to most new customers. Pro includes basic features such as conversation and thread summaries, huddle notes, and automatic search filters. Business+ adds search answers, daily recaps, file summaries, translations, workflow automation, Canvas generation, and broader Slackbot access. Enterprise+ adds enterprise search across supported connected sources.

Owners and administrators can control access to individual AI features, but disabling them does not reduce the plan price. Legacy Business+ or Enterprise customers may have different entitlements until renewal, so the AI access page inside the workspace is the authoritative check.

AI can accelerate catch-up and search, but generated summaries can omit nuance or misstate decisions. Verify legal, financial, personnel, security, and customer commitments against original messages and source documents. Clean up channel and file permissions before enabling broader search: AI can make overshared information easier to discover.

Workflows, apps, lists, and canvases

Workflow Builder can automate forms, approvals, reminders, onboarding, incident steps, and routing without a full application. Business+ adds AI-assisted workflow generation and steps. Slack Lists offer lightweight task tracking, while Canvases hold reference information and working documents.

These tools are useful for small operational processes but require ownership. Document the process, inputs, failure behavior, permissions, and system of record. A workflow that silently stops after an app token expires can be more dangerous than a visible manual task.

Slack’s integration ecosystem is a major advantage, yet every app adds permissions, data movement, vendor risk, and maintenance. Use an approval process, limit scopes, assign an owner, review unused apps, and revoke access promptly during offboarding.

Search and knowledge management

Paid plans preserve unlimited message history by default and make conversations, files, people, and channels searchable. Business+ AI search can answer questions using Slack context; Enterprise+ can extend search across supported enterprise sources.

Unlimited history is not the same as good knowledge management. Old messages contain abandoned ideas, outdated instructions, duplicate files, and informal statements. Establish authoritative spaces for policies, product documentation, decisions, and customer records, then link to them from Slack.

Use bookmarks, canvases, channel topics, standardized emoji workflows, and concise decision summaries to improve retrieval. Archive inactive channels so search results and sidebars reflect current work.

Retention, exports, and legal obligations

Paid plans retain data for the life of the workspace by default, but owners can configure automatic deletion. Retention settings can apply to messages, edits, files, canvases, lists, public channels, private channels, and direct messages. Deletion under a retention rule is permanent, so test the policy against legal, regulatory, contractual, and business requirements.

Business+ provides stronger export capabilities, including a request process for all workspace message history where eligible. Enterprise plans add more sophisticated governance and discovery integrations. Export availability is not automatic authorization to monitor employees; establish lawful purpose, approval, and privacy procedures.

Slack should not be the only copy of customer contracts, source code, financial records, incident evidence, or regulated data. Decide which records must be transferred to an approved system before retention removes them.

Security and administration

Slack encrypts data in transit and at rest and provides roles, app controls, session settings, audit and compliance capabilities that vary by plan. Business+ adds SAML SSO and SCIM provisioning. Enterprise+ adds multi-workspace governance and advanced security integrations, including stronger data-loss prevention and mobility controls.

Require MFA or federated authentication, separate owner and administrator duties, restrict workspace creation, control invitations, and review guests and Slack Connect relationships. Create an app-approval process and monitor high-risk tokens, bots, webhooks, export permissions, and automated workflows.

Enterprise customers should evaluate Enterprise Key Management, data residency, audit logs, legal holds, discovery, information barriers, and DLP against the exact contract. Certifications do not make a customer’s channel design or data handling compliant.

Rollout checklist

  1. Inventory current email lists, chat tools, communities, integrations, meetings, knowledge bases, and retention obligations.
  2. Select a plan from history, AI, identity, provisioning, export, support, and security requirements.
  3. Create channel naming, ownership, purpose, private-channel, guest, and Slack Connect standards.
  4. Configure identity, MFA or SSO, SCIM where licensed, roles, invitations, app approvals, and session controls.
  5. Set retention for messages, files, canvases, lists, and connected data before broad adoption.
  6. Pilot workflows, huddles, external channels, mobile access, notifications, exports, and offboarding.
  7. Train members on threads, channel selection, external indicators, phishing, durable decisions, and notification management.
  8. Review inactive channels, guests, apps, workflows, active members, and external connections before renewal.

Offboarding checklist

Deactivate the member, revoke sessions, transfer workflow and app ownership, rotate personal tokens or webhooks, reassign channel ownership, remove the user from Slack Connect relationships, and preserve required records. Convert eligible collaborators to guests only when their continuing access is justified and time-bounded.

Slack deactivation does not revoke access to every connected vendor account. Review identity-provider assignments, GitHub, Google Drive, Microsoft 365, Salesforce, Jira, automation platforms, custom bots, and any integration authenticated by the departing person.

Best Slack alternatives

  • Google Chat and Meet: a simpler bundled option for Google Workspace organizations.

Who should choose Slack?

Slack is an excellent fit for software teams, agencies, startups, distributed companies, support operations, and cross-company projects that depend on fast, searchable communication and integrations. Pro suits teams that need full history, group huddles, unlimited integrations, and Slack Connect. Business+ is justified when advanced AI, SSO, provisioning, exports, and stronger support are operational requirements.

Choose Teams when Microsoft 365 integration and enterprise administration dominate. Choose a simpler bundled chat product when the organization will not invest in channel governance or cannot justify a separate per-user collaboration bill.

Verdict

Slack remains one of the best-designed chat-centered collaboration platforms. Its channels, threads, search, integrations, Slack Connect, huddles, and increasingly capable AI can make work faster and more visible. The tradeoffs are per-user cost, notification pressure, information sprawl, and the governance burden created by apps and external collaboration.
