Scope and Who We Are
This Privacy Policy explains how the operator of SmartBizTools.io ("SmartBizTools," "we," "us," or "our") collects, uses, stores, and discloses personal information when you visit the website, create an Account, comment, publish a community review, submit a tool, subscribe, contact us, purchase a service, or use an interactive feature (collectively, the "Site").
This Policy applies to information controlled by SmartBizTools. A third-party product reviewed or linked from the Site controls its own data practices. Please read that provider's privacy notice before creating an account, purchasing, or connecting business data.
Information We Collect
Information you provide
- Account details such as display name, username, email address, encrypted password credentials, registration date, and profile settings.
- Comments, ratings, community reviews, replies, and associated moderation or account records.
- Tool-submission data such as company and contact details, product URLs, descriptions, pricing, categories, features, social links, affiliate-program details, logos, screenshots, and permissions.
- Newsletter information such as email address, optional name, signup source, and subscription status.
- Contact and chatbot-handoff details such as name, email, message, source page, and correspondence.
- Order and service information such as package selected, billing contact, transaction reference, payment status, deliverables, approvals, and support history.
Information collected automatically
- IP address, approximate location derived from IP, browser, device, operating system, language, referring URL, requested pages, timestamps, and server or security logs.
- Usage events such as page views, traffic source, link or advertisement interactions, session activity, and performance diagnostics.
- Cookie identifiers, authentication state, consent preferences, anti-spam signals, and similar browser or device data.
Please do not submit passwords, private API keys, payment-card numbers, sensitive personal records, confidential client information, or other data that the relevant form does not request.
Sources of Information
We obtain information directly from you, automatically from your browser or device, from WordPress and enabled Site services, from payment or authentication providers, and from public sources used for editorial research. Tool Providers may also supply business contact details and product assets. If you provide information about another person, you confirm that you are authorised to do so.
How and Why We Use Data
Depending on the context and applicable law, we process information to perform a contract, respond to a request, comply with law, protect legitimate interests, or act with consent. Uses include:
- Creating and securing Accounts, authenticating users, and providing dashboard features.
- Publishing and moderating comments, reviews, ratings, and tool listings.
- Evaluating submissions, delivering founder services, processing orders, and maintaining transaction records.
- Answering enquiries, sending service messages, and delivering requested newsletters.
- Measuring audience use, improving navigation and content, diagnosing errors, and maintaining performance.
- Preventing spam, fraud, scraping, abuse, account compromise, and security incidents.
- Complying with tax, accounting, legal, regulatory, and dispute-resolution duties.
We do not use Site data to make decisions that produce legal or similarly significant effects solely by automated means.
Accounts and Google Sign-In
When you register directly, WordPress stores your account information and a securely hashed form of your password. Authentication cookies keep you signed in and help protect Account sessions. Password-reset and security messages may be sent to your registered email address.
If you choose Sign in with Google, Google authenticates you and sends SmartBizTools information needed to create or match your Account, which may include your Google account identifier, name, email address, and profile image. We do not receive your Google password. Google's handling of sign-in data is governed by its own privacy policy and your Google settings.
Comments, Reviews and Public Content
An Account is required to publish comments or community reviews. Your display name, submission, rating, date, and related replies may be visible publicly and indexed by search engines. Do not publish information you want to keep private.
We associate contributions with your Account for moderation, attribution, abuse prevention, and dashboard metrics. WordPress may store comment metadata such as user ID, IP address, browser information, timestamps, and moderation status. Removing an Account does not always require removal of lawfully retained moderation records or public contributions that form part of a discussion, although you may request review of identifiable content.
Tool Submissions and Founder Services
Tool-submission and founder-service forms collect detailed product and business information so we can evaluate eligibility, contact the submitter, create or update a listing, deliver an ordered service, verify claims, and maintain an editorial record. Uploaded logos and screenshots may be stored in the WordPress media library and used publicly when permission has been granted.
Business product details intended for publication may not remain confidential. Contact details, payment records, internal notes, and unpublished materials are restricted to authorised administration and service needs unless disclosure is required by law.
AI Challenge and Local Storage
The 21-Day AI Challenge may save completion status and preferences in your browser's local storage. This data generally stays on that device unless an Account-based feature expressly states that progress is synchronised. Clearing browser storage, using private browsing, or changing devices may remove guest progress.
Local-storage data is controlled through your browser. SmartBizTools cannot restore browser-only progress that was cleared or lost.
Contact, Newsletter and Chatbot
Contact messages and human-follow-up requests may include your name, email, message, and source page. We use them to route and answer the request and retain a reasonable support or business record. Newsletter signups are stored in WordPress with the submitted email, optional name, and signup context. You may unsubscribe from marketing messages using the available link or contact us.
The SmartBizTools chatbot is currently configured to provide local, Site-based guidance. Messages are processed to generate a response but are not saved as chatbot leads unless you deliberately submit the human-follow-up form. If an external AI provider is enabled in the future, this Policy will be updated and appropriate notice will be provided before messages are sent to that provider.
Cookies and Similar Technologies
We use cookies, local storage, pixels, scripts, and similar technologies. Categories may include:
- Essential: authentication, security nonces, load balancing, consent records, caching, and core WordPress operation.
- Preferences: saved settings, challenge progress, and interface choices.
- Analytics and performance: audience measurement, error diagnosis, speed testing, and Site improvement.
- Advertising and affiliate measurement: advertisement delivery, frequency controls, conversion or referral attribution, and interest-based advertising where enabled.
See our Cookie Policy for more detail. Browser controls can delete or block cookies, but disabling essential technologies may prevent login, comments, saved progress, or other features from working.
Analytics, Advertising and Affiliates
The Site currently uses Google Analytics 4, Google AdSense, Google Site Kit services, Jetpack Stats, HubSpot, and related scripts. These providers may receive online identifiers, IP-derived information, device and browser details, page activity, referrers, and interaction events according to their configurations and policies.
AdSense and advertising partners may use cookies or similar identifiers to select, measure, and limit advertisements. Depending on your region, consent controls or provider opt-outs may be available. SmartBizTools also uses affiliate links. A partner may record that you followed a referral link and may report conversion or commission information to us. See the Affiliate Disclosure.
No cash sale of personal information. We do not sell lists of names or email addresses for money. Some advertising or analytics disclosures may nevertheless be classified as a "sale," "sharing," or targeted advertising under certain regional laws. Where those laws apply, you may have an opt-out right.
Payments
Payments may be processed by PayPal or another payment provider displayed at checkout. Payment providers collect and control card, bank, wallet, identity-verification, and fraud-prevention data under their own policies. SmartBizTools generally receives transaction status, payer or billing details, amount, currency, and a transaction reference rather than full payment-card credentials.
When We Disclose Information
We may disclose information to:
- Hosting, caching, security, email, analytics, advertising, CRM, authentication, media, and payment providers that support the Site.
- Professional advisers, contractors, or contributors with a legitimate need for access and appropriate confidentiality duties.
- Authorities or other parties when reasonably necessary to comply with law, enforce terms, investigate abuse, protect rights or safety, or respond to legal process.
- A buyer, successor, lender, or adviser in connection with a proposed or completed reorganisation, financing, sale, merger, or transfer of the Site or business.
- The public, when you intentionally submit content or product information for publication.
We limit disclosures to information reasonably necessary for the relevant purpose. Service providers may process data in countries different from yours.
Data Retention
We retain information only for as long as reasonably needed for the purpose collected, account operation, publication history, security, fraud prevention, legal compliance, accounting, disputes, and enforcement. Retention varies by record:
- Account and public-content records may remain while the Account or contribution is active and afterward where needed for attribution, moderation, or legal obligations.
- Tool submissions and service records may be kept for editorial history, business administration, and transaction compliance.
- Newsletter data is kept until unsubscribe, deletion request, or removal through list maintenance, subject to a limited suppression record where needed.
- Security logs, anti-spam records, caches, and backups are kept for limited operational periods and then rotated or deleted.
- Browser-only challenge progress remains until you or the browser clears it.
Deletion from active systems may not immediately remove information from restricted backups, which are overwritten on their normal cycle.
International Data Transfers
SmartBizTools and its providers may process information in the United States, Europe, Nigeria, or other countries. Privacy protections may differ from those in your location. Where required, providers may rely on contractual safeguards, adequacy decisions, consent, or other lawful transfer mechanisms.
Data Security
We use reasonable administrative and technical measures such as HTTPS encryption, WordPress access controls, password hashing, nonces, spam checks, rate limits, updates, backups, and restricted administration. No website, transmission, or storage system is completely secure. You are responsible for using a strong unique password, protecting your device, and reporting suspected Account misuse promptly.
Your Privacy Rights
Depending on your location and applicable exceptions, you may request access, correction, deletion, restriction, portability, withdrawal of consent, or objection to certain processing. You may also opt out of marketing and, where applicable, targeted advertising or qualifying data sharing.
Submit a request through the contact page and identify it as a privacy request. We may ask for information reasonably necessary to verify identity and authority. We will respond within the period required by applicable law. Some requests may be limited where retention is required for transactions, security, legal claims, public-interest expression, or other lawful exceptions.
Regional Privacy Disclosures
EEA and United Kingdom
Where these laws apply, processing may rely on contract, consent, legal obligation, or legitimate interests such as operating and securing the Site, answering requests, improving content, and preventing abuse. You may complain to your local data-protection authority.
United States state privacy laws
Residents of states with applicable privacy laws may have rights to know, access, correct, delete, obtain a copy, or opt out of certain sales, sharing, targeted advertising, or profiling. We will not discriminate against you for exercising a protected privacy right. An authorised agent may submit a request where permitted, subject to verification.
SmartBizTools does not knowingly use or disclose sensitive personal information to infer characteristics about visitors. Because legal definitions and thresholds vary, rights are applied according to the law that covers the request.
Children's Privacy
The Site is intended for business and general audiences and is not directed to children under 13. We do not knowingly request personal information from children under 13. If you believe a child has submitted information, contact us so we can investigate and take appropriate action. Users below the age of legal majority in their location should use the Site only with parent or guardian involvement.
Third-Party Sites and Services
Links to AI tools, business software, social networks, advertisements, payment pages, and other external services take you outside SmartBizTools. We do not control their collection, security, retention, or use of information. Review the external provider's current privacy and cookie notices before supplying data.
Changes to This Policy
We may update this Policy to reflect Site features, provider changes, security practices, or legal requirements. The effective date above shows the latest revision. Material changes may also be highlighted on the Site or communicated through an appropriate account or email notice. A revised Policy applies from its stated effective date.
